Everything event organizers need

Event Planner Resources.

A/V requirements, room setup, technical rider checklist, run-of-show template, and a pre-event questionnaire so the day-of production runs cleanly.

Run-of-show and questionnaire: downloadable PDFs are being prepared. The full structure is below so you can plan around it now.

A/V requirements

Audio, visual, room.

Audio

Microphone

  • Handheld wireless mic OR lavalier / lapel mic — Abdul's preference is a headset mic for any session longer than 30 minutes.
  • Backup handheld mic stage-side.
  • Speaker monitors — 2 wedge monitors at minimum for larger rooms.

Visual

Projection / screens

  • Confidence monitor visible from the stage, mirror of main screen content.
  • Main projection screen sized to the back of the room, aspect ratio 16:9.
  • HDMI / USB-C cabling for on-stage laptop. Backup VGA in older venues.

Room

Setup & lighting

  • Stage minimum 8 ft deep × 16 ft wide; larger rooms need a wider stage.
  • Good front-light on the speaker; lower ambient light on the audience during keynote segments.
  • For retreats: breakout space for the day-by-day rhythm — separate from the main hall.
  • Quiet HVAC. No PA bleed.

Engagement

Q&A and live polls

  • Roving handheld mic for audience Q&A.
  • For larger rooms, prefer a moderator-style Q&A to manage time.
  • Optional event-app integration for live polls and breakout prompts — listed in the pre-event questionnaire.
